The dispatch board for HVAC and plumbing shops with 5 to 50 techs.

  • Fewer phone calls for your dispatcher, because customers get a text when the tech is on the way.
  • Tighter routes for your techs, built around service windows and real drive time.
  • Same-day invoices for you, written and signed in the driveway.

Try it. Press Auto-schedule and watch six new calls land in the right trucks, inside their windows.

Sample day from a 3-truck shop. Your demo uses your own jobs.

Built for the person at the whiteboard, and the person who signs the checks.

Most shops we onboard run dispatch on a whiteboard, a spreadsheet and a group text. NovaFlow puts the whole day on one screen that the office, the trucks and the customer all read from.

    For dispatchers

Drop a job on the board and NovaFlow shows which truck gets there inside the window with the least driving.

    • Emergency no-cool calls slot in without reshuffling the whole day by hand.
    • Customers get an "on my way" text, so fewer "where's my tech" calls reach the front desk.
    • See every truck's status without calling a single tech.

    For owners

Know what every truck did today, and bill for it before the tech leaves the driveway.

    • Invoices go out the same day, with photos and the customer's signature attached.
    • Drive time and jobs per tech per day, tracked week over week.
    • One price per technician. Office users are included.

Four things your office stops doing by hand.

Each screen below is the real product your dispatcher, your techs and your customers will use. No add-on modules to buy later.

    Route-aware scheduling

A new call comes in. NovaFlow ranks every truck by who can make the window with the least driving.

It checks the service window, the tech's skills, what's already on their day and the drive from their last stop. Your dispatcher still makes the call. They just stop guessing.

Skills matter: a plumber is never offered a furnace job.

    Live tech tracking

See where every truck is and how far along each job runs, without calling anyone.

Status updates come from the tech app when a tech starts a drive, arrives or closes a job. The office sees the same board in real time, so the 10 am check-in calls stop.

Location is shared only while a tech is on the clock.

    "On my way" texts

Your customer gets a text with the tech's name, truck and arrival time.

Sent from your shop's number when the tech taps Start drive. If the tech is running 15 minutes behind, the customer hears it from you first.

    Invoicing on site

The tech builds the invoice from your price book, the customer signs, and it's paid before the truck leaves.

Flat-rate or time and materials. Photos and notes stay attached to the customer's equipment history, so the next tech knows what was done.

Paid invoices sync to your accounting software the same afternoon.

What changed for shops after their first 90 days.

We ask every shop for the same four numbers before go-live and again after week 12. These are the medians, not the best cases.

    1. 12:41 pm

      Booked

A no-cool call comes in from Gahanna. NovaFlow ranks every truck for the 1:00 to 3:00 pm window, and Luis is the best fit, 9 minutes away.

    2. 1:23 pm

      Dispatched

Luis taps Start drive. The customer gets an "on my way" text with his name, truck and arrival time, so the front desk phone stays quiet.

    3. 1:32 pm

      On site

He arrives inside the window. The office sees the status change on the board without calling anyone.

    4. 2:48 pm

      Invoiced

The invoice comes from your price book, the customer signs in the driveway, and it is paid before the truck leaves.

Paid invoices sync to your accounting software. Card payments run through your existing processor. Your office calendar stays in sync with the board.

Encrypted in transit and at rest, backed up daily in US data centers. Techs see only their own jobs. Export everything, any time.

Questions owners ask before the demo.

Something else on your mind? Call us at (614) 555-0142, weekdays 8 am to 6 pm Eastern.

We run on a whiteboard and spreadsheets. Is this too big a jump?

That's where most of our shops start. The board looks like the whiteboard you have now, with trucks as rows and the day as columns. Onboarding imports your spreadsheets for you, so nobody retypes customers.

How long until my dispatcher uses it every day?

Onboarding runs 14 days and is included. Most shops dispatch every job in NovaFlow by day 11. Your dispatcher gets a one-hour training session and a direct line to your onboarding lead for the first live week.

Do my techs need new phones or tablets?

No. The tech app runs on the smartphones they already carry. Some shops add a tablet for invoicing on bigger jobs, but it isn't required.

    Is there a long-term contract?

No. You pay $39 per technician each month, month to month after onboarding, and can cancel with 30 days' notice. You can export all of your data at any time.

What happens on the 30-minute demo?

A product specialist loads a sample of your jobs onto the board, auto-schedules it with you, shows the tech app and the customer texts, and prices it for your shop size. If NovaFlow isn't a fit, they'll tell you.

We have fewer than 5 techs, or more than 50. Can we still use it?

Yes, but it's built for 5 to 50. Under 5, the price is the same per tech and you may not need route optimization yet. Over 50, ask on the demo about multi-branch dispatch.

Bring last week's jobs. See them scheduled on your own board.

In 30 minutes a product specialist loads a sample of your real jobs into NovaFlow, auto-schedules them across your techs and shows what it would cost for your shop.
